This is a great in-person job opportunity, close to downtown Montreal.


RESPONSIBILITIES:

The Administrative Assistant will assist the entire company with various administrative tasks, including the following key aspects without being an exhaustive list:

  • Welcome guests at the reception and direct them accordingly.
  • Take charge of various administrative tasks, including managing incoming mail and shipping needs, handling calls, etc.
  • Manage inventory of supplies (groceries, office supplies, promotional items, etc.).
  • Coordinate corporate events: catering, gourmet meals, corporate lunch and events, and ensure their smooth unfolding.
  • Ensure the maintenance, cleanliness, and general condition of the premises and equipment (coffee machine, printers, etc.).
  • Organize and coordinate business meetings, reserve conference rooms, and send MS Outlook invitations, as needed.
  • Actively participate in the implementation and improvement of administrative procedures.
  • Participate in the digitization of archives project.
  • Responsible of petty cash transactions and reconciliation.
  • Participate in the reconciliation of credit card statements.
  • Any other related administrative tasks as needed by the organization.


DESIRED QUALIFICATIONS:

  • Degree in administration or in a relevant field
  • Minimum of 3 years of experience in a similar role
  • Professionalism, resourcefulness, and rigor
  • Adaptability, flexibility and discreet
  • Initiative, proactivity, and efficiency
  • Excellent knowledge of the Office suite (Excel, Word, PowerPoint, SharePoint)
  • Strong communication and interpersonal skills
  • Ability to manage and prioritize multiple tasks to meet deadlines
  • Dynamism, team spirit and willingness to help each other
  • Bilingualism (French and English)
